Privacy notice

Galway Film Society (GFS) is a small, volunteer-run film society. We collect as little personal information as we can get away with, and we never sell or share it.

Who we are

Galway Film Society is the data controller for this website. We are a not-for-profit voluntary committee based in Galway, Ireland. You can reach us at enquiries@galwayfilmsociety.ie.

What we collect, and why

  • Newsletter subscribers. If you sign up to GFS Insights, we keep your email address and (if you give it) your first name. Our lawful basis is your consent (Art. 6(1)(a) GDPR), which you can withdraw at any time using the unsubscribe link in any email.
  • Ticket buyers. Tickets are sold through Tickettailor. When you buy, your name, email, and payment details are processed by Tickettailor, not by us. We see your name and email so we can hand you a ticket at the door. See Tickettailor’s privacy policy for the details of their processing.
  • Email enquiries. If you write to us, we keep the email and our reply so we can follow up. Lawful basis: legitimate interest in answering you (Art. 6(1)(f) GDPR).
  • Visit analytics. We run a self-hosted, cookie-free analytics tool that counts page views and the country you visited from. No personal data, no tracking across sites, no fingerprinting. If we ever change this we will say so here first.

Who we share it with

We share data only with the processors who help us run the society: our email provider (Mailchimp for newsletters), Tickettailor for ticket sales, and our hosting provider (Raidboxes, based in Germany). All three are GDPR-compliant. We do not sell, rent, or otherwise share your details with anyone else.

How long we keep it

  • Newsletter list: until you unsubscribe.
  • Ticket records: held by Tickettailor under their retention policy; we keep our own copy for 12 months for box-office reconciliation, then delete.
  • Emails to us: 24 months, then deleted.
  • Anonymous analytics: 14 months, then aggregated and the raw rows deleted.

Your rights

You have the right to:

  • ask what we hold about you (right of access);
  • have it corrected if it is wrong (rectification);
  • have it deleted (erasure / “right to be forgotten”);
  • ask us to stop processing it (restriction or objection);
  • get a copy in a portable format (data portability);
  • complain to the Data Protection Commission (dataprotection.ie).

To exercise any of these, email enquiries@galwayfilmsociety.ie and we will respond within one calendar month, as required by GDPR.

Cookies

This site does not set any tracking cookies. We use one strictly-necessary cookie to remember if you have dismissed our cookie notice, and that is it. No advertising, no third-party embeds that drop cookies without your consent.

Changes to this notice

If we change anything material, we will update the date at the top and, where the change affects how we use your information, we will tell newsletter subscribers by email before it takes effect.
